Built for a Friend.
Made for Everyone...
This is a true story.
This project didn’t start in a boardroom. It didn’t come from a market analysis or a pitch deck. It started with talking to my friend about how her day at work went.
She’s a paralegal at a law firm. Every week, she’d sit at her desk and scan through thousands of pages of medical records — massive PDFs, scanned charts, handwritten physician notes. One case alone had a 10,000-page document she had to review from start to finish. Page after page after page. By the end of the day, her eyes were so tired she could barely stand to look at the computer screen. She wears glasses, and they weren’t helping.
It wasn’t just her eyes. A wrist injury made every hour at the keyboard painful. Scrolling, clicking, typing notes — the kind of repetitive work that most people never think about, but that was slowly wearing her down.
She didn’t ask me to build the software. It was just my crazy imagination. I told her, “I will build you something that can help.” A few weeks went by and I couldn’t stop thinking about it.
I’m a Senior Systems Engineer and Infrastructure Architect with over 20 years in IT. I thought, “If anyone should be able to build this, it’s me.” Not a tool that reads clean PDFs — Google can do that. Something that could read the stuff nobody else can: the faxes that come through smudged, the handwritten notes from a doctor’s office, the fourth-generation photocopy that’s barely legible. The documents that make up real legal work.
So I started building. Nights and weekends at first, even pulled a few all-nighters. It’s incredible what happens when you want to do some good in the world. I made it my mission to build something that could help. I designed the architecture, assembled the right tools, and brought it all together — with security and compliance baked in from day one, because when you’re handling medical records, there’s no “we’ll add that later.” One OCR engine became four. A preprocessing step became a full pipeline. Custom models trained on medical vocabulary, legal terminology, insurance jargon. Built to handle the documents that my friend actually deals with — not the clean samples that look good in demos.
Somewhere along the way, it stopped being a side project and became something real. What started as a favor to help a friend turned into a platform that could help thousands of people just like her — paralegals, legal assistants, medical records clerks, insurance adjusters — anyone who spends their days staring at bad scans until their eyes give out.
That’s what RecordIQ is. It’s not a product that was designed by committee. It was built by someone who watched a friend struggle and decided to do something about it.
Every feature in this platform exists because a real person needed it. The accuracy on faxes, the handwriting recognition, the medical terminology models — none of that came from a spec sheet. It came from watching my friend’s tired eyes and her wrists hurting and thinking, “There has to be a better way....”
There is...!!!

Engineering You Can Measure
33 specialized processing tools for data validation, document analysis, and structured output — built around offline-first architecture and local-only PHI handling.
Tested against 3,500+ internal test cases across our standards-anchored validators — verifying reliability across diverse document types and case scenarios.
141 internal QA validation checks across the test harness — verifying accuracy, security, and alignment with court, medical, and insurance industry standards. Outputs designed for professional review.
Internal controls mapped against 55 SOC 2 criteria covering security, availability, confidentiality, and privacy. (SOC 2 attestation not yet certified.)
AES-256-GCM encryption (FIPS 197) applied to data at rest and during local processing on the customer's workstation.
Zero PHI transmitted to external servers — all processing happens locally on the customer's workstation. Aligned with HIPAA, PIPEDA, and CCPA principles for sensitive data handling.
$0 processing cost per page — transparent pricing with no per-page fees or hidden charges, whether you process a hundred pages or a hundred thousand.
One seat, one-year license, with unlimited page processing — scale without per-page overage fees or processing limits.
What We Believe
Three Principles. No Compromises.
No Cloud. No Excuses.
Your clients' medical records should never touch someone else's server. RecordIQ processes everything locally. Our technical safeguards are designed to support HIPAA compliance — AES-256-GCM encryption, tamper-evident audit logs, and an offline-first architecture that keeps PHI off the network.
Deterministic Output.
We read what's on the page. Every result is deterministic and reproducible. When a paralegal needs to verify a date or provider, it matches the source document exactly.
No Subscriptions. No Per-Page Fees.
We believe in tools, not tolls. One license. Unlimited pages. Process 100 pages or 100,000 pages for the same price. Your firm shouldn't be punished for being productive.
